Sentence Structure – Types of Sentences

Structuring a sentence is very important factor for perfect communication. Perfect sentence structure gives an appropriate feel to the language and portrays an individual’s command over the language. To understand structuring of sentences it is an advantage to have a fair idea about clauses, subject and predicate as they together form a complete sentence. Structuring includes understanding different types of sentences and their categories which are detailed as below:

Types of sentences:-

Simple Sentence-
Simple sentence can be defined as a sentence that has one or no clauses in the sentence. It is the simplest form of sentence and is generally short. A simple sentence may also be identified by judging the subject and predicate in the sentence. The clause in a simple sentence is independent while the sentence usually contains only one subject and a predicate.

Example: The dog barks.

Here the above sentence contains an independent clause and one subject that is the dog and one predicate barks and hence such sentences can be defined as simple sentences.

Compound sentence-
Compound sentence can be defined as a sentence that has two or more clauses in the sentence. It is connected by using a conjunction. Two or more simple sentences are generally combined together by the use of conjunctions like and, or, but etc.  A compound sentence may also be formed by combining the clauses with such types of conjunctions.

Example: Rocky is a great painter but he is very weak in studies.

Here the sentence is joined by two clauses and two simple sentences are combined to form a compound sentence. “Rocky is a great painter” is a simple sentence and “He is very weak in studies” is another simple sentence these two sentences are combined with a conjunction to form a compound sentence.

Complex sentence-

Complex sentence can be defined as a sentence that contains one independent clause along with at least one dependent clause without which the whole sentence is incomplete.

Example- Although I am a good runner, I failed to come first.

Here two simple sentences are used to make a sentence, it is not combined by a conjunction but contains one independent clause and one depend clause.

Reports and Letter Writing

Reports and letter writing play an important role in developing an individual’s professional background. Reports and letter writing form the part of the formal part of communication between two individuals or organizations. However letter writing may also be informal where the format of the letter has minimal change along with the content which is more emotional and informal. Reports and letter writing are key aspects that require effective skills to be convincing and produce great results that grab the audience’s attention.

Importance-
Imagine a situation where your boss tells you to write a report on the last sales meeting and submit it to him on high priority basis demonstrating the effects of the meeting or he calls you to draft a letter for a complain regarding late delivery of a consignment and you just write it the way you wrote them in your childhood in the English examination. The quality or your letter or report would show your effectiveness or will be a show of embarrassment hence letter writing and reports are of great importance.

Communication skills -
Communication skills with respect to written aspects is very essential for appropriate construction of sentences. Content of the letter report is the most important aspect as there is only written communication and no verbal communication hence communication play a key role in striking the right chord and create an effective impression on the reader.

Vocabulary-
Vocabulary is another essential aspect for creating great impression on the reader. Vocabulary plays a very essential role in creating an effective language for communication with the reader. Vocabulary decides the level of the written content and gets the much desired attention and appreciation from the critics.

Punctuations-
Punctuations are very important for the content to give it a complete look. The commas, full stops, apostrophes etc. decide how well versed the writer is with the language and such small errors seem to be small but create a big issue in deciding the credibility of the report or letter.

Format-

Communication is a very important tool for conversation and leaving an effective impression on the audience. The basic steps to develop good communication skills are being loud and clear in communication. Effective communication forms part of the later stage but being clear and understandable is the basic and the first priority. Neutral accent plays the most significant role in making the basic communication strong. Most of the people all over the world have become part of the large and rapidly growing corporate industry. Every individual today has the same accent and most of them are concentrating on getting a neutral accent that is comfortable and effective for all.

Tips to get a Neutral Accent:-

Getting rid of the mother tongue tone and accent is the prime important factor to get a neutral accent. This problem is faced by large number of  individuals every other individual has a hangover of the mother tongue accent which makes it very difficult to obtain a neutral accent from the initial stages of learning. Effective speaking is a very important part of an individual’s personal and professional growth. Effective speaking plays an essential role in the development of an individual’s personality. Mirror practice is one of the best methods to improve public speaking.

Practice is very essential to attain perfection in any task. Practice makes it easy to find solution to hurdles and gives exact details of how it can be prevented before the actual occurrence, Mirror practice deals with personal observance skills, here an individual is expected to understand himself and view the results of his input by himself that gives him a perfect idea of how effective he is and he gets his own feedback that helps in improving the performance.

Mirror practice not only means practicing to speak while standing opposite the mirror, it actually means to observe one’s own performance by various means like videos, audios etc. and working on the weaker areas of an individual’s performance. This human tendency of every individual makes it very important for a trainer to understand the audience efficiently before making the format of the training.

Knowing the audience well has many advantages and is of great importance. Audiences feel interested and training can be conducted effectively. A well known audience is always a well trained audience, Effective training leads to successful growth and development for the individuals that brings faith in the audience. No matter how motivating a trainer is the motivation last only for a short span of time until it is converted into results. When the individuals feel the changes and development from within the appreciation for training and self automatically comes.

Building relationships- Building relationships with the audience and knowing them personally is very important and effective to create a strong foundation to know them personally as well as professionally.

Creating comfort-It is very important to create a comfortable atmosphere to know the audience effectively. Until an individual is comfortable in the company of his trainer he/she cannot open up completely and tell about their likes or interests.

Direct and indirect Interaction- Direct interaction is knowing the audience directly by asking them to introduce themselves in public. Indirect interaction can be in the form of feedback forms, data analysis, etc that is obtained by other sources that show their interests.

Grouping them-Diving the audience into different groups and assigning them with tasks is a great idea to know more about them. The interaction between themselves with the other participants makes them more comfortable. Their engagement in the task brings a level of comfort between them and the trainer that helps to know them more effectively.

Public speaking is an important aspect of an individual’s professional and personal life. An individual unless an effective speaker will not be able to beat the heat to become successful in the growing rat race. Public speaking is very important to create a lasting impression on the audience. Academic knowledge alone does not empower individuals to become successful in their careers. A winning edge is essential to become successful which can be provided by effective public speaking skills.

Public speaking skills enable an individual to learn the art of interacting with people or a group of people. Generally every individual is bound with a fear of facing the crowd and is not confident in speaking in front of the audience. Public speaking helps an individual to get rid of the stage fear and motivates him/her to become a confident speaker.

Public speaking also enables an individual to learn effective negotiating skills which are a very important part of an individual’s professional life. A meeting with delegates where you are required to convince them and prove beneficial for the company this is a very common situation that professionals come across and tackling such situations has high rewards but it plays like a two edged sword if you win you are appreciated in a great way and if you lose you are simply out of the race.

Communication is an essential factor for dealing with participants and the situations that arise during training with respect to the audience and many other factors. Sometimes situations become difficult and the wit of a trainer and his experience plays a very important role in handling the situation. Every participant similarly reacts in his own different way according to his/her understanding and it’s very important to tackle such participants with a calm yet effective behaviour.

Key steps to handle difficult participants or situations-

Prevention-
The best way to handle difficult situations is to prevent them from taking place. Being proactive and reacting before the occurrence of such a situation is the key to handle them. A reminder to have a learning attitude and listening with a positive attitude is helpful to decrease their ego. Display of reminders to switch off phones on the projector is another great strategy.

Understanding-
Difficult situations arise not due to a forceful or deliberate reaction of an individual who is assigned a task to behave in a particular difficult manner. Every individual behaves in a manner that at least makes sense to him or a few others who have a mentality similar to him. Understanding the cause for their behaviour is the key to handle such difficult situations or participants. Every participant looks up to the trainer for an unbiased view and living up to their expectation by understanding is very important.

Patience-
Patience is the key quality to be possessed by a trainer to handle difficult situations. Service industry demands to understand the feeling of others and conquer their anger with your patient and soft spoken words. An individual might be impatient and irritating due to their mental imbalance condition caused due to a disturbance to them but a trainer should be patient enough to handle such situations.

Dealing with the jokers-
There is another section that deals with handling the situations arising due to the non-serious participants that create problems like talking in between, chit chatting, playing games, being inattentive and affect the whole bunch of trainees, such participants need to be tackled with wit and bringing them to involve more in the training process. Such participants need a different session for clearing their mind with the questions of why and how they need training for themselves and what impact it would make on them and create improvement.
